Deposits and Cancellations:
A $300 deposit is required to hold a room for 40 people or more and a $150 deposit is required for 20-40 people. Any cancellation received less than five (5) months prior to the scheduled event will result in loss of the deposit. Cancellations due to inclement weather will be rescheduled; however it is the responsibility of the party to cancel. If the party does not cancel within 36 hours of the event, they will be billed for the banquet accordingly.
Guaranteed Counts:
A guaranteed number of attending guests must be given to Bay City no later than seven (7) days prior to the event. This guaranteed total must come within 20% of the estimated amount and will be used as the billing amount, even if fewer guests attend.
Prices and Payments:
The prices of the meals do not include a 6% Pennsylvania sales tax or 18% gratuity. All prices are subject to change without notice. Payment is expected in full the day of the event unless other arrangements have been made. . Payment options include cash, personal check (with proper ID), or a credit card. A 4% handling fee will be applied if using a credit card for payment
Room Rental Fees:
Without food, the fee for the rooms is $250 for the Cove and $500 for the Banquet Room. There is a 30-person minimum on the small room and a 40-person minimum on the large room. If the final count does not surpass these amounts, Bay City reserves the right to place another small party in the room unless a room charge is paid. NO OUTSIDE FOOD OR BEVERAGE IS PERMITTED. ALL REMAINING FOOD IS THE PROPERTY OF BAY CITY AND CAN NOT BE TAKEN OFF THE PREMISES.
Room Times:
There is a four (4) hour time allotment on the large room starting from the contracted start time. Additional time will be billed at the rate of $75.00 per hour. Bay City reserves the right to reassign rooms up until 3 weeks before the scheduled event. This decision is based on your estimated total given. This does not include wedding receptions.
Special Services:
Additional services such as flowers, balloons, custom linens, and entertainment are available upon request. Additional charges may apply for these services.
